FAQs: Student Military Leave Requests
The term orders include actual written orders (PCS, TDY/TAD/TEMDU, activation orders, annual training order, drill orders, deployment orders, etc.), and it may include verbal orders or inferred orders as it pertains to field training exercises or performing maneuvers as directed by a military unit.
No, you do not need to submit your orders with your request form. UMGC may ask for documentation if there are multiple requests within a short time frame, but you will be contacted if this information is required.
Each request must have a submitted Student Military Leave Request attestation form, even if there are multiple, non-consecutive periods within the same term. If there is a repeated pattern of requests within the same term, documentation may be requested to affirm the justification for the request and potentially subsequent requests.

Completion of the form does not guarantee acceptance. A copy of the completed Student Military Leave Request form will be provided to the email used on the request form. You will then be contacted by the Learner Resolution Management team who will reach out within 1–2 business days to follow up on the submitted form.
By completing the Student Military Leave Request Form, you are authorizing UMGC to exercise discretion and make a final determination regarding the appropriate academic or administrative action based on what UMGC deems to be in your best academic and financial interest. Any such determination will be made in accordance with UMGC policies and based on the information available at the time the decision is required. Learner Resolution Management will update you on any decisions made via email.
Upon receipt of an overseas learner’s military leave request, Learner Resolution Management will conduct a warm handoff to the overseas learner’s student services team in Europe or Asia for local assistance.
For periods of service and courses that are already complete, you may request university consideration for an exception by completing the Request for Exception Form.
FAQs: Bookstore Course Materials
This depends on the type of course material, when it was purchased, whether it has been accessed or activated, and publisher rules. If you have used financial aid for your purchase, you should contact bookstore Customer Service as soon as possible to ask about your specific order. If you have not used financial aid and purchased your learning resource via a direct link in D2L, then please contact support@vitalsourcesupport.zendesk.com.
Non-activated eBooks, digital content, and eligible access codes may be returned within 14 days after the class start date or within 14 days of purchase, whichever is later.
Usually, no. Digital content such as eBooks, access codes, and similar materials are generally non-returnable once they have been accessed, activated, downloaded, revealed, or redeemed. There are cases in which certain learning resources have perpetual access licenses. If this applies to the course you are in, during a leave for military orders, you will be able to continue using it upon your return.
For eBooks, you may be able to return the item if you are within the return window and the eBook has not been accessed or activated. Once the eBook has been accessed or activated, it is generally no longer returnable, even if you are no longer enrolled in the course.
Some access codes may be refundable if they have not been activated, redeemed, scratched, revealed, or accessed. However, some access codes are non-refundable even if unused because the refund policy may be set by the publisher.
If your learning resource is provided through a perpetual license or another access model where you retain ongoing access, you may still be able to use the material after stepping away from the course. In that situation, a refund or credit may not be necessary, but it may still need to be reviewed based on the specific resource and your circumstances.
If approved, the credit will be issued in the same way the original payment was made. Processing may take about two weeks.
